What happens in GoHighLevel when a lead is saved

The order matters, because your automations should find a complete record when they fire.

  • The contact is created, or updated if that phone number or email already exists, so repeat customers are not duplicated. The lead source is set on the contact.
  • A note is added with what they want, where they heard about you, the job address, any notes, and who logged it.
  • An open job card (a GoHighLevel opportunity) is created in the first stage of your pipeline, named for the customer and the job type.
  • Tags go on last: one for the app, one for the lead source, one for the job type. A workflow triggered by the app tag sees the note and job card already there, so the owner's alert has the whole story.
  • If the job card step fails for any reason, the contact and note are still saved and the staff member sees a warning, never a request to type it all again.

The job board: one tap to move a job, and a list of what needs a nudge

Once leads are being logged, the next question is what happens to them. The jobs screen on the phone shows every job in the pipeline with its stage, lead source, quoted value, and how many days it has sat in the same stage. The "needs a nudge" filter shows open jobs that have not moved in a week, which is usually the list of estimates going cold.

Stage chips move the job. "Won" and "Lost" set the status, and a lost reason typed in the app is saved as a note on the customer, because GoHighLevel only accepts lost reasons from a fixed list. On a desktop, the same jobs appear as a pipeline board by stage or as a wide table you can sort by newest, longest sitting, biggest value, or name, with totals for open and won value at the top.

The full job screen adds an editable job value, since the quoted amount is usually known only after the in-home estimate. Notes live on the customer in GoHighLevel, so they follow a repeat customer across jobs.

Reports that answer the owner's questions

Where do our leads come from? What happened to them? Those two questions are surprisingly hard to answer from a CRM that was set up in a hurry. The reports screen answers them from the data already in your account: new leads by source for each month, jobs won and lost in the month they actually closed, close rate, and won value, over 6, 12, or 24 months.

Small data problems get fixed on the way in. The lead form uses a fixed list of sources, so "referral" cannot become "Referral" and "ref" over time, and the reports fold any older variations together. If you pay for a booth at a home show, that show gets its own source so you can see what the booth brought in.

Every saved lead carries a tag for the app, a tag for the lead source, and a tag for the job type. Those tags are stable, so the workflows we set up in GoHighLevel can rely on them. Typical ones:

How it is built and what it costs to run

The app is hand-built with Next.js and hosted on Vercel, the same stack behind rapidwebsystems.com, so it is fast on a phone and there is nothing for staff to install. It talks to GoHighLevel through a private integration token that you create in your own account, scoped to contacts and opportunities only. You can revoke it any time, and all the data stays in GoHighLevel.

Sign-in is one shared shop passcode with a signed cookie that lasts 60 days, so a phone that was signed in last month is still signed in today. The app is hidden from search engines. Without a CRM connection it runs in a demo mode that sends nothing, and in production a missing key is a loud error, because a lead app that silently drops leads is worse than no app.

Everything you see in the app is also in GoHighLevel, and you can keep using GoHighLevel's own mobile app alongside it.

GoHighLevel already has a mobile app. Why would I need another one?

GoHighLevel's app does everything, which means logging a lead takes many taps and a bit of training. In a busy shop that is enough for leads to end up on sticky notes. This app does one thing in about 15 seconds with big buttons your staff cannot get wrong. If your leads are already logged reliably, you may not need it.

How much does a custom lead capture app cost?

Yes. Lead sources, job types, and pipeline stages are a short list in the app, so adding a new home show or a new service is a quick change. On the App Care Plan those changes are included. The tags behind each choice stay stable so your reports and workflows keep working after a label changes.

Is our customer data safe, and who owns it?

All customer data lives in your GoHighLevel account, not in the app. The app connects with a private integration token you create yourself, scoped to contacts and opportunities, and you can revoke it at any time. Sign-in uses a shop passcode you control, and the app is hidden from search engines. You own the app code and can take it to another developer.

Does this work for businesses other than contractors?
